Garden Sanctuary Ministry Volunteer Agreement: Boundaries, Pastoral Care, & Ethics

Purpose Statement: At Garden Sanctuary, we deeply value our ministry volunteers and leaders. You are on the front lines of discipleship. To protect you, our congregation, and the integrity of the church, this agreement clearly defines the boundaries regarding spiritual mentoring, physical safety, church operations, and ethical conduct. By understanding these boundaries, you are empowered to minister safely, legally, and effectively while remaining under the spiritual covering of church leadership.

1. The Scope of Care: Mentoring vs. Counseling

As a lay leader or volunteer, your role is to mentor, facilitate, and disciple. NO LEADER is to ENGAGE IN PASTORAL COUNSELING OF ANY TYPE without the express consent of the pastor.

  • Lay Leaders: Lay leaders are never to assume pastoral roles, administer sacraments/ordinances, or engage in pastoral or clinical counseling.

  • Credentialed Leaders: Leaders who hold recognized ministerial credentials may minister up to the level of their formal training and credentialing, but always under the oversight of the pastor.

The "Green Light" (Your Role: Mentoring & Discipleship)

  • Do: Listen, encourage, and offer biblical wisdom for everyday life challenges.

  • Do: Share your personal testimony of God's faithfulness and pray for spiritual growth (James 5:16).

The "Red Light" (Pastoral Role: STOP & ESCALATE)

  • Do Not: Attempt to mediate severe crises, including the "Four A's": Adultery, Abuse, Addiction, or Abandonment.

  • Do Not: Counsel individuals experiencing marital issues, suicidal ideation, severe trauma, profound depression, or illegal situations.

2. Mandatory Escalation & Emergency Triggers

If a conversation hits any of the following triggers, you must gently halt the counseling aspect and immediately escalate the situation.

  • Immediate Emergency (911): If there is an active threat of suicide, violence, or imminent physical harm, call 911 immediately before contacting church leadership.

  • Mandated Legal Reporting: Suspected child, elder, or vulnerable adult abuse must be reported directly to state authorities. As quickly as is safely and legally possible, notify the Lead Pastor of the issue.

  • The Danger Trigger: Any hint of emotional, physical, or sexual abuse requires an immediate halt and report to the Lead Pastor (after notifying authorities if a minor is involved).

  • The "Secret" Trigger: If someone attempts to confess hidden, destructive sins while demanding your absolute silence. Never promise absolute secrecy.

  • The Referee Trigger: If a couple begins actively fighting in front of you and demands that you take a side. All ministry leaders should decline to offer marital counseling and refer the couple to the Lead Pastor.

3. Interpersonal & Physical Boundaries

To avoid the appearance of evil (1 Thessalonians 5:22) and protect against false accusations, Garden Sanctuary strictly enforces the following rules:

  • No Isolated Digital Messaging: All communication between the pastor and a female leader will occur in a group message with at least one spouse included in the conversation. The exact same rule applies to all leaders when engaging electronically (texting, direct messaging, emailing) with church members of the opposite sex.

  • Youth & Minor Protection: When ministering to minors, the "Rule of Two" always applies (never be alone behind closed doors, or in vehicle, with a lone minor). Parental consent is required for direct digital communication with minors.

  • Physical Space: Avoid isolated, out-of-sight meetings. Ensure rooms have a window in the door, leave the door open, or meet in a public setting.

  • Team Ministry: Married leaders should strive to work and mentor as a couple. Avoid one-on-one, isolated meetings with a member of the opposite sex.

4. Ethical, Financial, & Personal Boundaries

Leadership is a position of trust, not leverage.

  • No Independent Funds: Leaders may not collect or hold funds—whether in cash or in private, outside accounts (e.g., personal bank accounts, payment apps)—outside of the official funds of the church overseen by the clerk or appointed treasurer.

  • No Personal Favors: Do not use your influence or relationships built in ministry to request personal favors from congregants. This includes, but is not limited to:

    • Asking to borrow personal vehicles, heavy equipment, or tools.

    • Requesting access to private property or acreage for personal recreation (such as fishing, camping, or outdoor sports).

    • Soliciting free professional services (e.g., legal, contracting, or mechanical work).

    • Asking to use a member's vacation home, boat, or recreational vehicle.

  • Financial Ethics: Do not enter into private business deals or attempt to sell products (e.g., multi-level marketing) to those you are mentoring or leading.

5. Conduct, Speech, & Unity

As a ministry leader, you are a representative of Garden Sanctuary 24 hours a day, 7 days a week. Wherever you are, in your daily life, and in all things you post online, your conduct, speech, and appearance should reflect a commitment to holiness, grace, and church unity.

  • Protecting Reputations: Leaders are expected to always protect the reputation of other leaders, staff members, and the pastors. This includes how we interact with and speak about other leaders in the presence of other people.

  • Complaints Go Up: If you have a grievance or complaint, it must be escalated up the chain of leadership to someone who has the authority to address it. A complaint being shared with someone who cannot fix it is gossip.

  • Appropriate Conversation & Social Media: Because you represent the church in all aspects of your life, avoid crude joking, profane language, and divisive rhetoric both in public and online. This applies to every post, comment, or shared image on your personal social media accounts. Maintain the same standards of purity and grace online as you would in a church setting. Furthermore, do not post photos or prayer requests of congregants without their explicit consent.

  • Modest Attire: Whether serving on Sunday mornings, at youth events, posting online, or in public settings, leaders must dress modestly and professionally, minimizing distractions and reflecting the high calling of leadership.

  • Doctrinal Alignment & Teaching: As a leader, you are entrusted to guide others in their faith. You agree to teach, lead, and minister in full alignment with the official statement of faith and core doctrines of Garden Sanctuary. You will not use your ministry platform, whether in person or online, to promote personal theological views, controversial topics, or doctrines that conflict with the established beliefs and teachings of the church.

6. Event Planning & Church Operations

  • Event Planning: Events may be planned using official event planning sheets.

  • Approval Required: No event is to be announced prior to receiving approval through the event planning guide process.

  • Guest Speakers & Leaders: No outside speakers, teachers, worship leaders, or featured guests are to be invited to participate in Garden Sanctuary events without prior approval of the pastor.

  • Promotion of Outside Events & Ministries: Your ministry group and leadership platform are resources belonging to the church. Leaders may not promote, recruit for, or distribute materials for outside events, external ministries, external training or educational institutions, non-church fundraisers, or parachurch organizations—either during church gatherings or through ministry communication channels—without the exclusive, prior authorization of the Lead Pastor.

  • Ministry Unity: All leaders are expected to support the events of other departments as applicable, recognizing we are one body working together.

7. Church Commitment & Membership

  • Faithful Attendance & Tithe: All leaders are to be tithe-paying members and faithful attenders at Garden Sanctuary. This includes consistently attending church services and gatherings even when you are not scheduled to serve in your specific department.

8. The Rule of Confidentiality

As a leader, you will be trusted with sensitive information, but you do not bear the burden of carrying it alone. Confidentiality ends with the Lead Pastor.

All leaders are expected and required to pass critical information regarding the spiritual, emotional, or physical well-being of parishioners to the Lead Pastor so they can provide proper oversight. This includes prayer requests, congregational conflicts, and any other issues that may affect the well-being of the individual or the church.

I have read and understood the Garden Sanctuary Ministry Volunteer Agreement.

  • I agree to operate strictly within the scope of my authorized leadership role and will not engage in unauthorized pastoral counseling.

  • I agree to abide by the communication, physical, financial, and ethical boundaries.

  • I agree to promptly escalate crisis situations, report suspected abuse to the proper authorities, and pass all critical parishioner information to the Lead Pastor.

  • I commit to faithfully attending, tithing, protecting church unity, and following all event and operational guidelines.

  • I understand that I represent Garden Sanctuary in my daily life and online presence, and that violating these boundaries may result in disciplinary action, up to and including my immediate removal from ministry leadership.

  • I understand that Garden Sanctuary may change these policies at any time and it is up to me to remain informed of current policies, procedures, and commitments.
